Term4 Marksheets pre notes

We will be releasing the updates for the Term4 marksheets shortly to make it possible to create the term4 marksheets. It is important, that you create the marksheets only BUT NOT attempt to do any importing yet.

We will be releasing a new module (housing for the code) for the importing of the marksheets soon.

For those schools that I am personally doing split subject mark profile adjustments (12.3.11) for in SASAMS, I will need to check on all of those and in some cases do completions before you run these marksheets for those subjects. You can do create them and release the non-split subjects in the meantime but just hold back on releasing the split subject marksheets until we have spoken. You know who you are 😊.

There are also new templates for term 4 which must be downloaded from our cloud sites.

The templates are in the file MarksheetTemplatesT4.xlsx in the Marksheets folder.

Note that on the Marksheet manager, there is now a space to select which template file to use, so that the template file can have any name and can also be stored anywhere.

The template no longer has to be in the c:\Isoft\marksheets folder. In other words if you customise the standard marksheet templates, you can give it a name that means something to you other than MarksheetTemplatesT4, and you can save them on a folder on the server so that everyone automatically has access to the same templates. (Note in the above screenshot we just so happen to have it stored in the C:\iSOFT\Marksheets folder but as I say it can be anywhere).

Term4 Marksheets SBA Auto populate

The major development that we have done on these marksheets is that the marksheets are prepopulating with marks that carry through from the previous terms. This is necessary for the term4 marksheets to contain the SBA mark columns so that the final marks can be calculated.

So, when you generate them, they pull through the marks from the previous terms.

(incidentally, you will notice the task and activity references, in 2023 these will come in super-handy when we build out the curriculum module whereby you will be able to have greater control and flexibility within the SASAMS curriculum module, for insance for those of you that semesterise subjects or split subjects that aren’t traditionally split in SASAMS (eg: NS into Physicall Science and Biology)).

Another cool thing about our markheet is that if you go and capture those two red squares (missing marks from the previous terms) directly on to this term4 marksheet SBA section, then those marks will automatically go and fill themselves in to the previous terms marksheets in SASAMS when the marks are synced across.

Doing this means that the final promotion marks are therefore calculated on the marksheets themselves. (Insert dance emoji).

Term4 Marksheets PAT componants (FET Phase) – but please will phase 1,2,3 take note anyway!

There are some subjects whereby there are PAT marks from previous terms that many schools choose to do in term 4, despite the actual tasks themselves falling into the previous terms.

Those marks will have to be captured into SASAMS before the marksheet is created for those subjects. Then whether they WERE entered in the previous terms or ARE entered now, they will then show up in your term4 marksheet in SAMS like this:

If you created a marksheet at this point it would look like this:

You have to go to SASAMS 12.3.12, and save T4 marksheet so that you now have this:

Then when you print the T4 marksheet you will have:

This will apply to any subject that has marks brought forward form previous terms. So far as we can tell the following are the affected subjects:

The following subjects need to be saved in sams in term 4 before generating marksheets for term4:

Grade 10 and 11:

Afrikaans FAL or HL

English FAL or HL

Consumer Studies

Drama

EGD

German SAL

isiZulu FAL or HL

Visual Arts

This is probably all of them but MAYBE there is another one we haven’t spotted, please let us know so that we can let the rest of the FrontOFFICE Share Community know.

Again, the basic rule is that if there are marks that are carried forward from previous terms then they show in term4 as ‘pink’ marks and need to be saved so that they ‘turn yellow’ and then they will auto populate on the marksheets when they are created.

As you can see, you can exepect to see this new layout once you have run updates. For starters, it should make for easier viewing for those of you with smaller screens.

Along with being able to store and rename your marksheet template to whatever you want as well as output the marksheets directly to wherever you want, you can create then by grade now too.

Note that the grade chosen will be turned off as the marksheets are generated. It’s not an error. It is the quickest way for the system to ‘figure out’ what the next grade is that must be worked on.

Also note that NO grade 12 marksheets will be generated even if it is chosen. You will be capturing -1s in all their columns for term4. Remember, it is important that you do this because that means you can promote them and so that when it comes to doing your rollover, they are transferred out of SASAMS and are not left in meaning that they then get ‘caught up’ in amongst next years grade 12s and then come 2023, you are having to sit and transfer out a 100 grade 12s… one by one!!!

We will let you know as soon as the import module update is out so that once your marks start coming in you can start importing. Remember you don’t have to wait until they are all in, you can import and you can import again after that but we will release another email once that update is released.
